Elections Clerk (Seasonal)
Hourly Rate: $14.88 - $19.07

This is a seasonal position: The Election Commission hires seasonal workers during election cycles to assist with canvassing each election. During even numbered years there are four scheduled elections and two elections during odd numbered years. The canvass process takes place after each election and generally lasts from 8-10 days. Additionally, during times of high volume, seasonal employees may be requested to assist with other election related tasks, as outlined in the job description below.
Job Summary: The Elections Clerk provides a wide array of clerical support to the Election Commission and Commissioners. This includes answering phones, providing receptionist coverage, filing, typing general and specialized correspondence, preparing documents and reports using WORD, EXCEL and other software platforms. Assists in preparation for elections, canvassing election results, and certification of election results. Prepares ballots bags, manages mass mailing, helps fulfill open records requests, and assists with record retention maintenance.
Essential Duties and Responsibilities:
Office Support/Receptionist. Provide clerical support including but not limited to; receptionist, create and maintain spreadsheets, type, file, answer phones, data entry, draft correspondences, assemble mailings, photocopying, scanning, locate and collate documents, inventory, order office supplies, and equipment maintenance.
Election Result Processing. Review and verify post-election documents received from 19 municipalities for completeness and accuracy. Tally election results from election machine tapes and compare with results entered in official canvass. Process late arriving absentee results (sort, review, tabulate, and amend results).
Preparation of Election Supplies/Ballot Bag Security. Review spreadsheet to determine appropriate materials and quantities for each municipality. Assemble ballot bags, package election supplies and forms for each election. Assign and maintain serial numbers of ballot bags for municipalities. Assist with check-in of ballot bags after election.
Verification of Nomination & Campaign Paperwork. Assist Election Commission Staff in the review of nomination papers for accuracy and validity of signatures. Check campaign finance reports for omissions and completeness.
Initial Review of Campaign Finance Reports. Check campaign finance reports for omissions and completeness. Scan campaign finance reports in preparation of posting on website. Enter campaign contribution amounts into spreadsheets.
Coordinate Record Retention. Under general direction of the Election Director, determine destruction dates for election materials in accordance with Wisconsin State Statutes, box, store, and schedule destruction of election materials in accordance with statutory provisions.
Open Records Requests. Process open records requests including retrieval of requested documents; copy/scan and provide records requested, coordinate offsite record retrieval with vendor, and prepare chain of custody documents.
Campaign Guidance/ Certification of Candidates for County Office. Prepare candidate packets; assist prospective candidates with questions and provide instruction on filing of paperwork in accordance with statutory requirements.
Miscellaneous. Any and all other duties as may be assigned.
Minimum Requirements:
Must be a Current Resident of the State of Wisconsin
Possession of High School Diploma or GED equivalent
Must be able to lift/carry and push/pull up to 40 lbs.
At least one (1) year of professional general office clerical experience
Experience with Microsoft Excel, Word, and Outlook
Must be able to work full-time days during each post-election canvass process
Knowledge, Skills, and Abilities:
Knowledge of modern office practices and procedures
The ability to problem solve, communicate in person and with written communications
Supports clerical functions and pays attention to details
Uses good judgment and represents Milwaukee County in a positive manner, working harmoniously with staff, employees, and the general public
